Downtown Parker Volunteer Guidelines & Expectations

Thank you for volunteering with Downtown Parker!

Our community events would not be possible without the generosity, enthusiasm, and dedication of our volunteers. Whether you're helping with event setup, welcoming guests, assisting vendors, or supporting event operations, your contribution helps create memorable experiences for residents, businesses, and visitors.

To ensure a safe, organized, and enjoyable experience for everyone, we ask all volunteers to review and follow the guidelines below.

1. Volunteer Eligibility

  • Volunteers must meet the minimum age requirement specified for each event or assignment.

  • Volunteers ages 14–17 are welcome for designated youth-friendly opportunities. Certain assignments may require adult supervision.

  • Students seeking community service hours are encouraged to participate.

  • Volunteers should select assignments appropriate for their abilities and comfort levels.

  • No prior volunteer experience is required unless otherwise specified.

2. Registration & Shift Commitments

  • All volunteers must register for an available position and shift before the event.

  • Submitting an interest form does not guarantee a volunteer assignment. Volunteers must complete the event's designated shift signup process.

  • Please select shifts you can fully commit to attending.

  • If you need to cancel or change your shift, notify the event organizers as soon as possible.

  • Volunteers may sign up for multiple shifts, provided they do not overlap.

3. Arrival & Check-In

  • Arrive at least 15 minutes before your scheduled shift unless otherwise instructed.

  • Report to the designated Volunteer Check-In area upon arrival.

  • Check in with the Volunteer Coordinator before beginning your assignment.

  • Volunteers will receive any necessary event instructions, supplies, or equipment.

  • Remain at your assigned station until your shift ends or you are relieved by event staff.

  • Check out with the Volunteer Coordinator before leaving so your volunteer hours can be accurately recorded.

4. Dress Code & Personal Items

  • Wear comfortable clothing suitable for your assigned duties and the weather.

  • Closed-toe, comfortable shoes are strongly recommended.

  • Event-themed clothing or costumes are welcome when appropriate and should not interfere with your duties or guest safety.

  • Wear any volunteer identification provided by event organizers.

  • Bring only necessary personal belongings. Downtown Parker is not responsible for lost, stolen, or damaged personal items.

  • Bring a reusable water bottle if possible.

5. Volunteer Conduct & Professionalism

As a representative of Downtown Parker during community events, volunteers are expected to:

  • Treat all attendees, vendors, staff, and fellow volunteers with kindness, patience, and respect.

  • Maintain a welcoming, inclusive, and family-friendly environment.

  • Follow directions from the Volunteer Coordinator and designated event leadership.

  • Refrain from inappropriate language, discriminatory behavior, harassment, or disruptive conduct.

  • Avoid using personal phones excessively while actively assisting guests, except when required for event duties.

  • Never report for a volunteer shift under the influence of alcohol or drugs.

  • Communicate concerns or questions promptly to event leadership.

6. Safety & Emergency Procedures

The safety of our volunteers, attendees, and event partners is a top priority.

  • Follow all event safety instructions and posted signage.

  • Keep emergency access lanes, entrances, exits, and pedestrian walkways clear.

  • Immediately report injuries, unsafe conditions, suspicious activity, or emergencies to event leadership.

  • Do not attempt to physically confront or restrain attendees.

  • Do not operate vehicles, move heavy equipment, or perform potentially hazardous tasks without authorization and appropriate supervision.

  • In the event of an emergency, follow the instructions of event leadership and emergency responders.

  • Volunteers should not leave their assigned stations without notifying their supervisor, except when necessary for immediate safety.

7. Working With Children & Families

Many Downtown Parker events welcome families with young children.

  • Be patient, friendly, and respectful when interacting with children and parents.

  • Volunteers should not independently supervise children or escort them away from their parents or guardians.

  • Immediately notify event leadership if a child appears lost or separated from their family.

  • Do not photograph children for personal use without permission from their parent or guardian.

  • Respect the accessibility needs and personal boundaries of all attendees.

  • Direct families requesting special assistance to the appropriate event staff.

8. Technology & Event Equipment

Some volunteer assignments may require the use of a smartphone, event check-in application, radio, or other equipment.

  • Review technology requirements before selecting a shift.

  • Download any required applications before arriving, when instructed.

  • Follow training instructions for ticket scanning or event equipment.

  • Protect guest information and do not share attendee data, screenshots, or registration details.

  • Report technical difficulties to your assigned event lead.

For Trunk or Treat Ticket Scanning Volunteers: You must be willing to download the free Ticket Tailor Check-In App onto your personal smartphone. Event staff will provide instructions and authorized access.

9. Breaks, Food & Hydration

  • Volunteers working longer shifts will have opportunities for breaks as coordinated by event leadership.

  • Please notify your station lead before leaving your assignment for a break.

  • Water and light refreshments may be available depending on the event.

  • Volunteers are encouraged to bring personal snacks and any necessary medications.

  • Stay hydrated and inform event leadership if you feel unwell or need assistance.

10. Community Service Hours

Downtown Parker welcomes students seeking volunteer hours for school, clubs, and community service programs.

  • Volunteers are responsible for understanding their school's community service requirements.

  • Hours will be recorded based on actual participation.

  • Students should bring any required verification forms or instructions.

  • Community service forms may be signed by an authorized event representative after completing the assigned shift.

  • Electronic verification may be available upon request.

11. Attendance, Cancellations & Changes

We understand that unexpected circumstances happen.

If you can no longer attend your scheduled shift, please notify the event team as soon as possible so we can arrange coverage.

Event organizers may adjust assignments, volunteer locations, or shift responsibilities based on weather conditions, staffing needs, safety considerations, or other operational requirements.

12. Photography & Media

Downtown Parker events may be photographed or recorded for promotional, marketing, and informational purposes.

By participating in a public event, volunteers may appear in event photography or video. Please notify event organizers if you have questions or concerns regarding photography.

Volunteers should not speak on behalf of Downtown Parker to members of the media unless authorized to do so.

13. Volunteer Recognition

We greatly appreciate the time and energy our volunteers contribute to Downtown Parker.

Volunteer service helps support local businesses, strengthen community connections, and make our signature events possible.

Whether you volunteer for one shift or support multiple events throughout the year, your involvement makes a difference.
